TEDZ Integrative Systems LLC ("TEDZ," "we," "us," or "our") is a Texas limited liability company. We build, operate, and continuously improve AI-powered lead capture, customer engagement, and Revenue Operations systems for local service businesses. This Privacy Policy explains how we collect, use, store, and protect your personal information when you visit tedzintegrativesystems.com or interact with our services.
2. Information we collect
We collect information you voluntarily provide through our website chat (Jordan), intake and booking forms, email, or phone. This includes:
- Your name, phone number, email address, and business name or type
- The content of your chat conversations with Jordan
- Any other information you choose to share during an inquiry or consultation
We also automatically collect technical information when you visit our site, including your IP address, browser type, device type, pages visited, and referring URL. This information is collected through standard server logs and a privacy-first analytics tool configured to store no personally identifiable information.
If you call our demo line, that call may be recorded for quality assurance purposes. A verbal recording disclosure is given at the start of every call.

4. Jordan AI employee and voice calls
Our website and phone line feature an AI employee named Jordan. Jordan is not a human. Jordan is software designed to answer questions about our services, collect basic contact information, and facilitate appointment scheduling.
Chat conversations with Jordan are stored for follow-up and service improvement. Phone calls to our demo line may be recorded; a recording disclosure is given verbally at the start of every call. If you provide verbal consent during a recorded call, you may receive a single follow-up text message containing a link to our intake form. That message is governed by the SMS consent terms in section 5 below.

5. SMS communications
By providing your phone number, you agree to receive SMS messages from TEDZ Integrative Systems LLC regarding your inquiry, appointment requests, scheduling, and customer service communications. 6. How we share your information
We do not sell, rent, or trade your personal information to third parties. We may share your information in the following limited circumstances:
- With service providers who help us operate our platform, including our voice AI system, messaging delivery provider, email delivery provider, payment processor, scheduling platform, error monitoring service, and web analytics provider. These providers are bound by data protection agreements and may only use your information to deliver the services we have contracted with them.
- With law enforcement or government authorities if required by law, court order, or other legal process
- To protect the rights, property, or safety of TEDZ, our clients, or others
7. Analytics and error tracking
We use a web analytics tool configured in a privacy-first mode. No personally identifiable information is stored in the analytics platform. We collect aggregate usage data such as pages visited, session counts, and general geographic region to understand how our site performs.
We use an error monitoring service to detect and debug technical issues. Before any error data leaves our servers, personally identifiable fields are stripped. This includes message content, chat history, phone numbers, email addresses, and form field values. Error reports contain only technical stack traces without associated contact data.
8. Data security
We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, disclosure, alteration, or destruction. Our website uses SSL/TLS encryption to protect data transmitted between your browser and our servers. All data is stored in a cloud database with row-level security controls that limit access to authorized users only.

9. Data retention

Lead and conversation records are retained while your inquiry is active and for a reasonable period thereafter for legal and business continuity purposes. If you request deletion of your personal information, we will comply within 45 days, subject to any legal obligations that require us to retain certain records.
10. Your rights
Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), including the right to confirm whether we process your personal data, access and correct that data, request deletion, obtain a portable copy, and opt out of any sale or targeted advertising. We do not sell personal data or use it for targeted advertising.
California residents have similar rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know what personal information we have collected and to request deletion.

If we deny your request, you may appeal by contacting us at the same address. Texas residents whose appeals are denied may file a complaint with the Texas Attorney General.
11. Children's privacy
Our website and services are not directed to individuals under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will delete it promptly. Healthcare clients and HIPAA
TEDZ Integrative Systems LLC is not a covered entity or business associate under the Health Insurance Portability and Accountability Act (HIPAA) by default. Our platform is not designed or certified as a HIPAA-compliant environment.
If your business is a covered entity or business associate that requires HIPAA compliance, do not transmit, store, or request that Jordan handle protected health information (PHI) through our chat widget, voice line, or SMS systems without first executing a Business Associate Agreement (BAA) with TEDZ. To inquire about a BAA, contact us at [email protected].
Healthcare-adjacent clients who execute a BAA with TEDZ will have additional safeguards applied to their configuration. Until a BAA is in place, treat our platform as a non-HIPAA channel and do not share patient names, diagnoses, treatment details, insurance information, or any other PHI.
To request access to or deletion of your data, submit a data rights request. We respond within 45 days per TDPSA requirements.
